The implementation created a streamlined, centralized workflow that strengthened consistency and accelerated daily operations, enabling medical and housing staff to easily track their requests.
A nonprofit organization specializing in healthcare services and support for unhoused individuals required an internal system to better manage facilities-related tasks and projects as the organization expanded. Existing processes relied heavily on email-based requests and informal tracking methods, which led to delays in task completion, communication breakdowns, and limited visibility into project status and progress.
Problem
Action
I led coordination and implementation efforts for the rollout of a new facilities management system (MaintainX), aligning internal stakeholders' organization-wide and external vendors to ensure a smooth and timely implementation. I managed communication planning and training alignment, including integrating updates into departmental meetings to support user adoption. I maintained documentation, tracked project milestones, and worked directly with the vendor to establish support channels, clarify escalation paths, and ensure issues were addressed efficiently. I also ensured system testing was completed prior to implementation and evaluated the vendor’s product roadmap to identify opportunities for future process improvements and workflow optimization.
Result
As a result of the rollout, stakeholders were aligned on how to use the system for submitting, tracking, and managing requests, replacing informal email-based workflows with a centralized ticketing process. This improved overall organization and visibility of work and contributed to an estimated 25% increase in project completion efficiency, along with stronger accountability and task consistency.
